The Role
This maternity cover (6-9 months) is primarily to provide comprehensive and proactive support to the Chief Executive. Duties include acting as first point of contact for all callers or visitors to the Chief Executive, taking telephone and email messages, ensuring they are dealt with promptly, efficiently, courteously and with discretion Diary management, arranging meetings and appointments, managing the in-tray and email inbox ensuring that commitments and competing demands are efficiently managed and future needs anticipated.Taking executive decisions on behalf of the Chief Executive in his absence e.g. on administrative or minor policy matters and going to the Chair or Directors (as appropriate) for decisions on other policy issues.Organise meetings and conferences, including arranging venues, accommodation, refreshments. Attending the meetings as note/minute taker, preparing and issuing the agenda and minutes, and undertaking any follow up actions delegated.Type and prepare documents, correspondence/presentations and reports from manuscript sources. This includes producing high quality, original letters and a range of documents which will require effective Excel and PowerPoint skills Collate materials, research and analyse background information. Maintain and update any files, records, or directories used by the Chief Executive, including any confidential filing system, ensuring these are kept accurate and current for reference purposes Compile all necessary paperwork and maintain a bring forward system to ensure that the Chief Executive is fully briefed prior to appointments and is able to respond to deadlines on differing requirements.Experienced required - A professional and proven Secretary/PA with experience at a senior level is essential; Line management experience would be desirable.Skills required - High degree of organisational ability and attention to detail. A self-starter, able to work unsupervised and on own initiative with the ability to prioritise and multi-task. A high level of ICT skills and facility with IT systems and applications including MS Word, Excel, PowerPoint and Access. Excellent written and oral communication skills. Excellent interpersonal skills, including tact, discretion and experience of liaising with stakeholders and staff; Effective time management and ability and willingness to take decisions, even in uncertain circumstances.
